The situation

On a new hire's first day, HR needs to arrange seating, IT needs to create accounts, and the manager needs to do a handover briefing. All of this runs on memory or paper checklists every time — things get missed, and the new hire doesn't find out until days later.

This workflow makes sure each department knows exactly when it's their turn, and the next step doesn't start until they confirm they're done.

Workflow design

HR submits new hire onboarding request
(fills in: name, start date, position, department)

IT Team: account & equipment setup
(confirms: email account, computer, system access permissions)

Admin Team: seating & access card
(confirms: seat number, access card issued)

Direct manager: role briefing & handover
(confirms: job responsibilities explained, team introduced)

HR: confirm onboarding complete
(optional: notes on new hire status)

Complete (auto-notify HR and new hire's manager)

What to tell SuperAdmin Agent

"Create a new hire onboarding workflow, submitted by HR.

Form fields: full name, start date, position title, department (dropdown: Sales / Finance / IT / Admin).

Workflow steps in order:

  1. IT Team: account & equipment setup (confirm: email created, equipment ready)
  2. Admin Team: seating & access card (confirm: seat number, card issued)
  3. Direct manager: role briefing (confirm: responsibilities explained, team introduced)
  4. HR final confirmation

Each step has a checklist and a notes field."

Each step's confirmation items can be implemented as multi-select checkboxes — the processor must check each item before being able to approve.

Can the new hire see progress?

The onboarding request is submitted by HR, so HR can track progress. If you want the new hire to track it themselves, add a "New Hire Confirmation" node assigned to the new hire (via dynamic assignment field).

Prerequisites

Create "IT Team" and "Admin Team" groups, and set up the direct manager department structure for each department.
